Create a Booking Manually (Back office)

You can create a booking manually — what we call back office bookings — directly in Bilberry Base (i.e. not via your website).

This is ideal for receptionists, bookings by phone, or last-minute requests.

Create Through Form

Using this method allows you to choose any Payment Method.

  1. Navigate to the Project card (Calendar → Month → Select the trip).

  2. In the Booking section, click Create → Through Form.

  3. Enter Booker Information.

  4. Enter Tickets & Payment information.

  5. Enter Notes (optional).

  6. Toggle on or off Send invoice on email.

    1. Toggled On: Will send the guest an email with a link to pay for their booking.

  7. Toggle on or off Bypass Deletion?

    1. Toggled On: This booking will not be automatically deleted when the Invoice Due Date passes.

  8. Click Place booking.

Create Through Widget

This method mimics the experience of booking through a widget on your website. It is faster, and will automatically set the Payment Method to “Checkout”.

  1. Navigate to the Project card (Calendar → Month → Select the trip).

  2. In the Booking section, click Create → Through Widget.

  3. Choose number of Tickets.

  4. Click Book now.

  5. Click Checkout.

  6. Enter the guest’s Main Contact information.

  7. Click Next - Extras:

    1. This appears only if the trip has Extras attached to it. If it doesn’t, this step is skipped.

  8. Click Next - Travelers:

    1. This appears if this trip has Guest List fields. If it doesn’t, this step is skipped.

  9. Click Next - Go and pay.

  10. The booking has now been made.
