Create and Edit a Resource
A resource refers to any limited availability asset that need to be managed to prevent double bookings. A resource can be:
Equipment – e.g. bikes, kayaks or cars.
Rooms & Spaces – e.g. meeting rooms, treatment rooms or studios.
Seats & Spots – e.g. a seat on a boat, a table at a restaurant or a spot in a group class.
To create a resource, you first need to create a Supplier to connect the resource to. See our guide Create a Supplier to learn how to do this.
Create a Resource
Navigate to Suppliers → Overview.
Click on the name of the supplier you want to add a resource to.
Navigate to the Resources tab.
Click Create.
Fill in the different resource settings:

Capacity | The number of spaces (ex. 17 seats on a minibus) or the amount of a resource you have available (ex. 10 single kayaks). ⚠️ The capacity on a resource will always override the capacity on the tour, if lesser than the tour capacity itself. |
Mode | Free booking: Can be booked freely among multiple products. Shared capacity: Shared among multiple products. Close on first booking: If one resource is added to various products that overlap in time, it will become unavailable and close the other products' trips once the first booking is made. |
Email on booking | When toggled on Note: Remember to add the email addresses that should be notified in the Emails field. |
Description | A description of the resource, if needed. |
Click Create.
Edit the newly appeared setting fields that appeared when creating the resource.
Click Save Changes when done.

Seats per unit sets the maximum bookable seats per resource unit. Max units sets the maximum number of resource units you have available. You will receive a note in the Project card if your resources are double booked.
Seats per Unit Mode
The unit capacity settings let you manage availability by linking seats to resource units. You can decide how many seats each unit can hold and how many units are available in total. By enabling the unit limit, the system will track capacity per unit instead of only counting the total number of seats, giving you a more accurate way to control bookings.
Seats per unit sets the maximum bookable seats per resource unit.
Max units sets the maximum number of resource units you have available.
Enforce unit limit? enables the system to count units when booked.
Enforce unit limit is connected to Seats per unit and Max units, and needs to be switched on for the system to count the capacity as per unit instead of the total number of seats.

From the customer side, no change is visible – guests book normally by selecting ticket types. Behind the scenes, the system divides booked guests into units using a round-up logic (e.g., 10 guests → 2 cars, not 1.35 cars). Example:
1 car = 7 seats.
Booking 1–7 guests = 1 car in use.
Booking 7–14 guests = 2 cars in use.
💡 Use Case Example
Your company has 5 cars as resource units, where each car has 7 seats (a total of 35 seats). If one product is being booked and the booking requires 3 cars to cover the booking, that leaves only 2 cars available for other products sharing the same resource — meaning 14 seats split between the two resources. Let us say you have 19 guests booked in for Product 1:
Product 1: 19 seats booked which requires 3 cars in total (7 + 7 + 5 = 19). 14 seats left available (only 2 cars left).
Product 2: 14 seats left available (only 2 cars left).
Product 3: 14 seats left available (only 2 cars left).
If Product 2 is being booked by 4 guests, acquiring 4 seats, this occupies one of the two cars. Then there is only 1 car left across the products.
This shows how bookings on one product can affect the seat availability for other products sharing the same resources when using the seats-per-unit mode.
⚠️ Current Limitations
Does not work for single departures (system will always try to fill one unit before opening a new one).
Must be set to Shared capacity mode for options to appear.
Edit a Resource
Navigate to Suppliers in the left side menu.
Click Resources.
Find the resource in the list to edit.
To the right of the resource, click the Edit button.
This takes you to the settings page. Here you can edit the fields mentioned in the previous section of this article, such as name, capacity, mode etc.
