Economy Reports
Use the following steps to navigate Economy Reports.
Turnover Prognosis
Turnover per month
Click Economy, Turnover prognosis and Turnover per month.
This report shows the forecasted turnover per month for the selected period. This means all orders with a delivery date in the selected period, within Start date and End date, that are invoiced on or before the Report date.
You can filter by Invoiced or Confirmed:
Invoiced - Summarises all orders/invoices connected to a project, regardless of payment method and payment status, with a delivery date within the selected period and invoiced date before the Report date.
Confirmed - The report will summarise all projects with Confirmed status before the Report date and with a delivery date within the selected period.
On the bottom you can see the VAT breakdown.
If you press one of the months, youβll will be redirected into the Turnover per project report. Here you will se the period (=month you clicked) broken down into projects.
The report uses by default todays date as Report date, first day of the year as Start date, and last day of the year as End date.
Choose one of the other reports under Turnover prognosis, if you want to see the report broken down into category, product, project or customer.
Under Turnover prognosis youβll also find Register budget. Here you can register your budget for each category on each month. If you do this, you can now see how much % of the budget you have achieved in the turnover reports.

Turnover and VAT
Per payment method & product
Click Economy, Turnover and VAT and Per payment method & product.
This report shows the forecasted turnover per payment method for the selected period. This means orders with a delivery date in the selected period, within Start date and End date, that are invoiced on or before the Report date.
On the bottom you can see the VAT breakdown.
If you click on one of the Payment methods, it will break the numbers down into products.
The report uses by default todays date as Report date, first day of the year as Start date, and last day of the year as End date.

Per order
Click Economy, Turnover and VAT and Per order.
This report shows the forecasted turnover per order for the selected period. This means all orders (even credit notes) with a DELIVERY DATE in the selected period, within Start date and End date, that are invoiced on or before the Report date.
You can see the VAT breakdown under date filters.
If you click on one of the Order IDs, you can see the breakdown of the order. You can do the same with (PROJECT) to see the breakdown of the project.
The report uses by default todays date as Report date, first day of the year as Start date, and last day of the year as End date.
The filter Payment method is set to View all as default.

Online Sales: Sales
Click Economy, Turnover and VAT, Online Sales and Sales.
This report shows the forecasted turnover for sold online orders. This means all orders with a DELIVERY DATE in the selected period, within Start date and End date.
You can see a specific month by using the Go to month button.
If you click on a INVOICE ID number to see the breakdown of the order.
The report uses by default the first day of the year as Start date, and last day of the year as End date.

Online Sales: Prepaid
Click Economy, Turnover and VAT, Online Sales and Prepaid.
This report shows online orders that are created with a INVOICE DATE in the selected period, within Invoice date Start and Invoice date end, and has a DELIVERY DATE after the Invoice date End.
If you click on one of the IDs, you can see the breakdown of the order.
The report uses by default the first day of the year as Start date, and last day of the month as End date.
This report is primarily used for auditing or checking payments for products not yet delivered.

Online Sales: Refunds
Click Economy, Turnover and VAT, Online Sales and Refunds.
This report shows refunds (credit notes) in the selected period, within Invoice date Start and Invoice date End, done on online orders.
If you click on one of the INVOICE ID numbers, you can see the breakdown of the refund (credit note).
This report uses by default the first day of the year as Invoice date Start, and last day of the month as Invoice date End.
You need to push ποΈ Show invoices-button that is above INC. VAT to show refunds.

Invoice basis
Invoice ready projects
Click Economy, Invoice basis and Invoice ready projects.
This report shows invoices on customers that can be sent to invoicing. If you click, Send to invoicing, youβll send the invoice to Invoice batches.
You can search for a specific customer invoice in the π Search field.
You'll find Invoice batches in the same menu as Invoice ready projects.

Invoice ready agents
Click Economy, Invoice basis and Invoice ready agents.
This report shows agent invoices that can be sent to invoicing. If you select invoice and click, Send selected to invoicing, it will be sent to Invoice batches.
You'll find Invoice batches in the same menu as Invoice ready agents.

Invoice batches
Click Economy, Invoice basis and Invoice batches.
This report shows all invoices (both customer and agent) that has been sent from Invoice ready projects and Invoice ready agents that are Invoice ready or Invoiced.
If you click, Go to batch, you can preview and download the breakdown (.pdf file) of the batch that you need for the accounts. Then you can click, Mark as processed, and that batch will moved to Invoiced.
If you click, Cancel batch, all invoices in that batch will be moved back to Invoice ready projects or Invoice ready agents, depending on what type of invoice it is.
Invoice ready will always show as default when you go into this report.
Invoice batches are normally used by an external or internal accountant with own Bilberry user/login.

Refunds
Refunds
Click Economy, Refunds and Refunds.
This report shows all credit note orders that is not processed or marked as processed manually. When you have marked the credit note as processed, it will be moved to the Refunded report.
You can search for a specific credit note order in the π Search field.
When you create a credit note on an order, the credit note will be a new order with a unique order numbers that is connected to the original order.

Refunded
Click Economy, Refunds and Refunded.
This report shows all credit note orders that has been processed or marked manually as processed.
You can search for a specific credit note order in the π Search field.

Giftcard and deposits
Gift Card
Click Economy, Giftcard and deposits and Gift card.
This report shows all gift cards that has been created in the selected period, within Start date and End date. You can filter by Hide used cards and Payment method.
You can create a new gift card manually by clicking the blue button, Create. If you click on one of the INVOICE numbers, you can see the breakdown of gift card order. If you click on one of the TRANSACTIONS numbers, you can see the order where the gift card has been used.
You can see the following information on gift cards here:
Order/Invoice
How much is paid or not paid of the order/invoice
Payment method used when paying for it
The unique gift card code
Name of the person the gift card is ment for
Original amount/balance on the gift card
Current balence
Unique order number for all transactions the gift card is used on
When it was created
When it expires
You can search for a specific gift card in the π Search field.

This report uses by default the first day of the month as Start date, and last day of the month as End date.

Gift card: Usage
Click Economy, Giftcard and deposits and Gift card: Usage.
This report shows all orders/invoices with a INVOICE DATE in the selected period, within Invoice date Start and Invoice date End, that you have used the gift card on.
If you click on one of the INVOICE ID numbers, you can see the breakdown of order the gift card has been used on. If you click on one of the GIFT CARD ORDER numbers, you can see the breakdown of the gift card order.
You can see the following information in this report on orders that gift cards has been used on:
Invoice date, id and delivery date
Product and ticket (Adult, Child, etc)
Booking name and pax
Remaining amount the customer had to pay after using the gift card
You can see the following information in this report on gift cards used on orders:
Gift card amount used
Gift card order number
When the gift card was created
You can search for a specific gift card in the π Search field.
This report uses by default the first day of the year as Invoice date Start date, and last day of the month as Invoice date End date.

Gift card: Prepaid
Click Economy, Giftcard and deposits and Gift card: Prepaid.
This report shows all orders/invoices with a INVOICE DATE in the selected period, within Invoice date Start and Invoice date End, that you have used the gift card on, and that also has a DELIVERY DATE after Invoice date End.
If you click on one of the ID numbers, you will see the breakdown of the order that the gift card has been used on. If you click on GIFTCARD ORDER, you can see order of the gift card.
You can see the following information in this report on orders that gift cards has been used on:
Invoice date, id and delivery date
Product and ticket (Adult, Child, etc)
Booking name and pax
Remaining amount the customer had to pay after using the gift card
You can see the following information in this report on gift cards used on orders:
Gift card order number
You can search for a specific gift card in the π Search field.
This report uses by default the first day of the year as Invoice date Start date, and last day of the month as Invoice date End date.

Deposits
Click Economy, Giftcard and deposits and Deposits.
This report shows all deposit orders with a INVOICE DATE for the selected period, within Start date and End date.
If you click on one of the INVOICE ID numbers, you will see the breakdown of the deposit order. If you click on GIFTCARD ORDER, you can see order of the gift card.
You can see the following information in this report on orders that gift cards has been used on:
Invoice date, id and delivery date
Product and ticket (Adult, Child, etc)
Booking name and pax
Remaining amount the customer had to pay after using the gift card
You can see the following information in this report on gift cards used on orders:
Gift card order number
You can search for a specific deposit order in the π Search field.
This report uses by default the first day of the year as Start date, and todays day as End date.

Costs
Cost flow
Click Economy, Costs and Cost flow.
This report shows all Unapproved and Approved Costs that you have created and added or connected to a product. You can see the following information on costs in this report:
Date, name and status of the project the cost is connected too
What type of cost it is
Name of the project plan
Description, supplier, status and sum for the cost
You can search for a specific cost in the π Search field.
This report shows by default Unapproved cost. You need to click Approved to see them.

Cost overview
Click Economy, Costs and Cost overview.
This report shows you a cost overview for each month on products. You can filter by year, month and product. If you click βοΈCosts, you will see a breakdown of costs and sales.
You can see the following information in this report:
Project category (joined trip, private event, etc)
Product name, date and time
Product costs, and sales with/without VAT
Project status
You can search for a specific cost in the π Search field.
This report shows by default costs for all products on current month.

Profitability
Profitability
Click Economy, Profitability and Profitability.
This report shows you an overview of your profitability in the period, Start date to End date, on products. On the bottom you can see the breakdown of Costs.
You can see the following information in this report on each product:
Category and name of the product
How many pax and tours in total for the selected period
Total sales without VAT
Total costs
Margin - Both sum and percentage
Total sum for all products in the list
You can see the following information in this report on costs breakdown:
Cost id number, name and total amount
You can search for a specific product in the π Search field.
This report uses by default the first day of the year as Start date, and the first day of the month as End date.

Profitability resale
Click Economy, Profitability and Profitability resale.
This report shows you an overview of your profitability in the selected period, within Start date and End date, on products that are resale* products. On the bottom you can see the breakdown of Costs.
You can see the following information in this report on each product:
Category and name of the product
How many pax and tours in total for the selected period
Total sales without VAT
Total costs
Margin - Both sum and percentage
Total sum for all products in the list
You can see the following information in this report on costs breakdown:
Cost id number, name and total amount
You can search for a specific product in the π Search field.
This report uses by default the first day of the year as Start date, and the first day of the month as End date.
*Resale products are products you create in Bilberry that you sell on behalf of others.

Paid status
Click Economy and Paid status.
This report shows you a list of all orders that are either paid, not paid, deleted or refunded. You can filter the list by different orders by clicking Paid, Not paid, Deleted or Refunds. You can also use the search field to search for a specific order number or name.
You can see the following information in this report on each order:
Order number
Name on order
Invoice and delivery date of the order
Total order amount
Payment method
You can search for a specific order in the π Search field.
This report shows as default all paid orders.

Payment report
Click Economy and Payment report.
This report shows you a list of all orders that are paid or credited in the period, Start date to End date. You can filter by month, checkout or online payment method, or by all payment methods. All paid orders in selected period are summarised into payment method and VAT.
You can see the following information in this report on each order:
Date and time it is paid or credited
Order name
Invoice type and payment method
Total amount on the order
This report uses by default the first day of the month as Start date, and the last day of the month as End date.

Commissions
Click Economy and Commissions.
This report shows you a list of all orders with Unpaid commissions and Paid commissions through agents referrals.
You can see the following information in this report on each order:
Order id, invoice date
Order name
Paid date
What agent the referral is connected to
Total order amount
All orders totals in the list summarised
You can search for a specific order in the π Search field.
This report shows by default Unpaid commissions. You need to click Paid commissions to see them.

Packaging report
Click Economy and Packaging report.
This report shows you a list of all projects containing at least one activity and accommodation. You can filter by excluding canceled projects, and you can also filter by month.
You can see the following information in this report on each project:
Project id, start, category and name
Amount of people
Total plan amount and order amount
Project status
You can search for a specific project in the π Search field.
This report uses by default the first day of the month as Tour date Start, and the last day of the month as Tour date End.
This report is mostly used by Norwegian users that needs to report packages in to Reisegarantifondet in Norway.

License
Click Economy and License.
This report shows you turnover that will be used as basis for your Bilberry license. The list divides the turnover automatically into months, and you see the breakdown of the month by clicking the +-icon.
This report uses by default the first day of the year as Start date, and the last day of the year as End date.
Itβs the Billable Turnover numbers you need to use when controlling the license that Bilberry invoice you.
